Managing Active Orders

Once a buyer accepts your quote, the order is tracked in your Active Orders section. Keep the buyer informed at every stage by updating the order status promptly.

Find your active orders

Log in to your Factory Dashboard. Your 'Active Orders' section is shown at the top of the dashboard — it is the first thing you see after the stats bar. Each card shows the product, buyer name, quantity, price, deadline, and current status.

Update the order status

Click 'Update Status' on any order card to move it to the next stage. The status pipeline is: Confirmed → In Production → Quality Check → Shipped → Delivered. Only advance the status when each stage is genuinely complete. Buyers can see every update in real time.

Status stages explained

(1) Confirmed: you have acknowledged the order and are ready to begin. (2) In Production: manufacturing is underway. (3) Quality Check: goods are being inspected for defects and compliance. (4) Shipped: goods have been dispatched — provide tracking info in the chat. (5) Delivered: buyer has confirmed receipt.

Chat with the buyer

Click 'Open Chat 💬' on an order card to send messages to the buyer. Use this for progress updates, specification clarifications, or shipping/tracking details. Click 📎 to attach files — send quality inspection photos, packing list PDFs, or production images directly in the chat (images, PDF, doc supported, max 20 MB). Do not share personal contact information — this is blocked by the system.

Unread buyer messages

When the buyer sends a message, a red badge appears on the order card showing the number of unread messages. The 'Open Chat' button also turns red. Click it to read and reply. Prompt responses build buyer confidence and lead to better reviews.

Order completion and review

After the buyer confirms receipt and submits their review, the order moves to 'Completed'. You can then leave your own review of the buyer. Completed orders and their reviews are visible on both the buyer's and factory's profiles.
